Homebody Insurance Agency, LLC (collectively, “Homebody,” “we,” “us,” “our”) is a subsidiary of Entrata, Inc. We offer products and services (collectively, the “Homebody Platforms” or “Platforms”) to customers who purchase services through us (“Customers”), business clients that are typically residential and commercial real estate property managers and owners (“Clients”) who use our Platforms to manage services to their tenants, and visitors to our websites (“Visitors”). It is important to us that we provide transparency regarding our collection, use, and disclosure of information that can be reasonably linked with you (“Personal Information”).
To help us meet this commitment to you, we have created this Privacy Notice (“Homebody Privacy Notice” or “Privacy Notice”). This Homebody Privacy Notice governs our collection, use, and disclosure of Customers’ and Visitors’ Personal Information in connection with the Homebody Platforms, including from the websites we control and that link to this Privacy Notice (“Homebody Sites”). This Privacy Notice, along with our Terms and Conditions available here, form an integral and binding part of our relationship with you.
This Homebody Privacy Notice does not cover our processing Clients’ data in connection with the Homebody Platforms. Any such processing will be carried out at the Clients’ direction pursuant to an agreement (and/or our applicable Terms of Service) in place between Homebody and the Clients. If you, as a Customer or Visitor, have any questions or concerns about the data handling practices of a Homebody Client using our Platforms to process and store your Personal Information, please contact the relevant Clients directly.
Please Note: This Homebody Privacy Notice only governs our processing of Personal Information in the United States.
1. Application of Homebody Privacy Notice
This Homebody Privacy Notice describes how we collect, use, disclose, and protect the Personal Information of Customers and Visitors who visit the Homebody Sites. It also describes the rights and choices regarding use, access to, and correction of Personal Information available. For information regarding our online and offline collection, use, and disclosure of Personal Information related to California, Colorado, and Virginia residents, please see our Notice At Collection.The Homebody Sites may contain links to other third-party websites. The information practices and content of such third-party websites are governed by their own privacy notices. We encourage you to review the privacy notices of such third-party websites to understand their information practices.
2. Personal Information We Collect
We and our service providers collect Personal Information in various ways: when you visit the Homebody Sites, in connection with your application for a quote, to provide you with requested services, when you sign up for our newsletters or request other information or promotional communications, for analytics purposes, when you contact our customer services, or in connection with your inquiries and communications with us.
We collect the following categories of Personal Information:
- Identifiers, such as name, email address, alias, account name or login credentials to our online platform, unique personal identifiers, online identifiers, IP address that can reasonably be linked or associated with a particular consumer or household, government-issued identifiers(e.g., Social Security number),account profile photo.
- Personal information as defined in the California customer records law, such as name, contact information, signature, email address, phone number, insurance information such as insured unit number, insurance policy number, policy coverage levels, lease period, and co-occupants (co-residents, co-tenants),financial information including financial account number, bank account number, credit/debit card numbers, employment information.
- Legal Request. We may disclose personal information to comply with applicable law and our regulatory monitoring and reporting obligations (which may include laws outside your country of residence), to respond to requests from public and government authorities (which may include authorities outside your country of residence), to cooperate with law enforcement, or for other legal reasons.
- Commercial Information, such as name, email address, business email, business telephone, transactions, account balances, billing information, sales, purchases, uses.
- Audio/Video Data, such as electronic content produced by individuals using company systems including online interactive and voice communications such as through email, phone, or network sessions.
- Employment Information, such as employer name or company affiliation, job title, email address (work), phone number (work).
- Inferences that are drawn from any of the Personal Information listed above to create a profile about, or example.
3. Sources of Personal Information
We and our service providers collect information from Customers and Visitors when they provide it to us or our Clients through our Homebody Platforms or Homebody Sites.
4. How do we use personal information?
We and our service providers use Personal Information for the following purposes:
Customer support. This includes:
- Tracking and responding to Customer inquiries, reviews, or correspondence regarding products and services.
- Administering Customer account(s) or administering account access to our Platforms.
- Providing and improving our customer service.
- Facilitating communications generally in the context ofour business activities.
- Sending administrative information to Customers, such as changes to our terms, conditions, and policies.
- Enforcing our Terms of Use and any other contractual terms and conditions that govern the relationship between Homebody and our Customers.
- Responding to inquiries, for example, when prospectiveCustomers send us questions, suggestions, compliments, or complaints, or request further information about our services.
Marketing. This includes:
- Provide you with our newsletter and/or other marketing materials and facilitate social sharing.
- Informing you about our various insurance products and services.
- Re-engaging you if you have expressed an interest in our Platforms.
- Contacting you to set up a demo.
- Informing Customers about our various insurance products and services and providing access to our Platforms where the Customer sets up an account with us.
Improving, customizing, and personalizing our Platforms. This includes:
- Analyzing and improving the safety and security of our Platforms.
- Carrying out machine learning, data extracting, and loading data in data warehouses, to support Homebody enterprise software, data access, modifications, and operations.
Operations and general business purposes (to keep the Services updated and relevant and to develop our organization). This includes:
- For data analysis, for example, to improve the efficiency of the HomebodyPlatforms.
- Audits, to verify that our internal processes function as intended and to address legal, regulatory, or contractual requirements.
- Fraud prevention and fraud security monitoring purposes, for example, to detect and prevent cyberattacks or attempts to commit identity theft.
- Identifying performance trends with respect to specific products or services in the Homebody Platforms, including performance metrics and other indicators of basic product understanding trends and other metrics program metrics to identify user experience issues with Homebody Platforms.
- Operating and expanding the Homebody Platforms.
Aggregating, anonymizing, or de-identifying Personal Information so that it will no longer be considered Personal Information. We do so to generate other data for our use, which we may use and disclose for any purpose, as it no longer identifies you or any other individual. Where we maintain or use de-identified data, we will continue to maintain and use the de-identified data only in a de-identified fashion and will not attempt to re-identify the data.
5. How do we disclose personal information?
We will disclose Personal Information that we collect from you to:
- Our Affiliates. We may disclose Personal Information to our parent company Entrata, Inc. and any subsidiaries and affiliates within the Entrata corporate group in connection with the Homebody Platform.
- Clients. We may disclose Personal Information to a Client who has purchased a Homebody product or service, as you may request us to administer a product or service you have purchased.
- Service Providers. We disclose personal information to our service providers who perform certain services necessary to run our business (for example, insurance companies, insurance agents, underwriters, data hosting and development, data analysis, customer service, auditing and other services), provided that these service providers have entered into legally binding agreements with us to protect the personal information shared, limit their use, retention, and disclosure of the personal information, and assist us with our compliance requirements.
- Third-Party Business Partners and Marketing Partners. For example, we may disclose Personal Information to third parties to permit them to send you marketing, consistent with your choices.
- Third-Party Sponsors of Sweepstakes, Contests, and Promotions.
- Credit Bureaus. In connection with certain Homebody products, we may report information about your account to credit bureaus. Late payments, missed payments, or other defaults on your account may be reflected in your credit report.
- Legal Request. We may disclose personal information to comply with applicable law and our regulatory monitoring and reporting obligations (which may include laws outside your country of residence), to respond to requests from public and government authorities (which may include authorities outside your country of residence), to cooperate with law enforcement, or for other legal reasons.
- Business Transfer. We may disclose personal information to a buyer or successor in the event of a merger, divestiture, restructuring, reorganization, dissolution, or other sale or transfer of some or all of Homebody’s assets, whether as a going concern or as part of bankruptcy, liquidation, receivership, or similar proceeding in which personal information held by Entrata are among the assets to be transferred.
- Enforcement of Our or Others’ Rights. We may disclose personal information to external parties the extent that this is necessary to enforce or protect our rights, privacy, safety, or property, and/or that of our affiliates, you, or others, including enforcing our Terms of Use and any other agreements (such as for billing and collection purposes and fraud prevention).
6. Children
We do not knowingly collect Personal Information from children under the age of sixteen (16) without authorization by a holder of parental responsibility. If you believe that we may have collected Personal Information from or about a child under the age of sixteen (16), please send an email to dataprivacy@homebody.com with the subject line “Personal Data of a Minor.”
7. Other Information
“Other Information” is information that does not reveal your specific identity or directly relate to an identifiable individual. We and our service providers may collect and use Other Information in a variety of ways, including:
- Your browser or device. Certain information is collected by most browsers or automatically through your device, such as your Media Access Control (MAC) address, computer type (Windows or Mac), screen resolution, operating system name and version, device manufacturer and model, language, and Internet browser type and version. We use this information to ensure that the Services function properly.
- Your use of our app(s). When you download and use our app, we and our service providers may track and collect usage data, such as the date and time the app on your device accesses our servers and what information and files have been downloaded to the app based on your device number. We use this information to understand how the app is used and improve it.
- Cookies. Cookies are pieces of information stored directly on your computer. Cookies allow us to collect such information as browser type, time spent on the Services, pages visited, language preferences, and traffic data. We use the information for security purposes, to facilitate navigation, to display information more effectively, and to personalize your experience. We also gather statistical information about use of the Services to continually improve their design and functionality, understand how they are used, and assist us with resolving questions regarding them. If you do not want information collected using cookies, most browsers allow you to automatically decline cookies or be given the choice of declining or accepting particular cookies from a particular website. You may also wish to refer to https://www.allaboutcookies.org/manage-cookies/index.html. If, however, you do not accept cookies, you may experience some inconvenience in your use of the Services.
- Pixel tags and other similar technologies. Pixel tags. We may use pixel tags (also known as web beacons and clear GIFs) to, among other things, track the actions of users of the Services (including email recipients), measure the success of our marketing campaigns, and compile statistics about use of the Services and response rates.
- Analytics. We use Google Analytics, which uses cookies and similar technologies to collect and analyze information about use of the Services and report on activities and trends. This service may also collect information regarding the use of other websites, apps, and online services. You can learn about Google’s practices by going to www.google.com/policies/privacy/partners/ and exercise the opt-out provided by Google by downloading the Google Analytics opt-out browser add-on, available at https://tools.google.com/dlpage/gaoptout.
“Do Not Track” Notice: “Do Not Track” is a preference that you can set in your browser to let websites you visit know that you do not want them collecting certain information about you. Homebody does not currently respond to, or honor, Do Not Track signals or requests from your browser.
We may use and disclose Other Information for any purpose, except where we are required to do otherwise under applicable law. If we are required to treat Other Information as Personal Information under applicable law, we may use and disclose it for the purposes for which we use and disclose Personal Information, as detailed in this Homebody Privacy Notice. In some instances, we may combine Other Information with Personal Information. If we do, we will treat the combined information as Personal Information.
8. How We Protect Your Personal Information
We seek to use reasonable organizational, technical, and administrative measures to protect Personal Information within our organization. Unfortunately, no data transmission or storage system can be guaranteed to be 100% secure. You are responsible for keeping your username and password to access the Platforms confidential. If you have reason to believe that your interaction with us is no longer secure, please immediately notify us in accordance with the How to Contact Us section below.Where we collect your payment card information, we will comply with all applicable Payment Card Industry Data Security Standards (PCI-DSS).
9. Choices Regarding Your Information
We give you choices regarding our use and disclosure of your Personal Information for marketing purposes. You may opt out from receiving marketing-related emails from us. If you no longer want to receive marketing-related emails from us on a going-forward basis, you may opt out by following the “unsubscribe” option contained in any such email.

10. Keeping Your Information Updated
Where you have set up an account on one of our Platforms, it is your responsibility to keep your Personal Information up to date. You can update your Personal Information by logging in to your Homebody account. If you have an account with one of our Clients, please contact that Client for information on how to update your Personal Information.
11. Notice At Collection for California, Colorado, Connecticut, and Virginia Residents
This section describes how we collect, disclose, retain, and share Personal Information relating to California, Colorado, Connecticut, and Virginia consumers. Please note that these state consumer privacy laws and, therefore, this section do not apply to certain information, such as information and/or entities subject to certain federal privacy laws including the Gramm-Leach-Bliley Act (“GLBA”), Fair Credit Reporting Act (“FCRA”), Driver’s Privacy Protection Act (“DPPA”) and the Health Insurance Portability and Accountability Act (“HIPAA”).

Homebody does not sell Personal Information as each term is defined under applicable law. Without limiting the foregoing, we do not knowingly sell or share the Personal Information of minors under the age of sixteen (16) years of age.

We retain each category of Personal Information, for as long as needed or permitted in light of the purpose(s) for which it was collected and consistent with applicable law. The criteria used to determine our retention periods include:
- The length of time we have an ongoing relationship with you or our Clients, and provide the use of our Platforms to you or our Clients (for example, for as long as you have an account with us or keep using the Platforms), and the length of time thereafter during which we may have a legitimate need to reference your Personal Information to address issues that may arise;
- Whether there is a legal obligation to which we are subject (for example, certain laws require us to keep records of your transactions for a certain period of time before we can delete them); or
- Whether retention is advisable in light of our legal position (such as in regard to applicable statutes of limitations, litigation, or regulatory investigations).
12. Individual Requests for California, Colorado, Connecticut, and Virginia Residents
If you are a California, Colorado, Connecticut, or Virginia resident you may, subject to applicable law, make the following requests:
- To know whether we process your Personal Information, and to access such Personal Information. If you are a California resident, you may also request that we disclose to you the following information:
a. The categories of Personal Information we collected about you and the categories of sources from which we collected such Personal Information;
b. The business or commercial purpose for collecting or “sharing,” Personal Information about you; and
c. The categories of Personal Information about you that we “shared” and the categories of third parties to whom we “shared” such Personal Information; and
d. The categories of Personal Information about you that we otherwise disclosed, and the categories of third parties to whom we disclosed such Personal Information.
- To correct inaccuracies in your Personal Information.
- To have your Personal Information deleted.
- To receive the specific pieces of your Personal Information, including a copy of your Personal Information in a portable format.
- To opt out of targeted advertising, including the “sharing” of your Personal Information for cross-context behavioral advertising.
You have the right not to be unlawfully discriminated against for exercising your privacy rights.
To make a request under #1-5, above, you should contact Homebody by sending an email to dataprivacy@homebody.com, by filling out this form or by calling 1-877-577-0850. We will verify and respond to your request consistent with applicable law, taking into account the type and sensitivity of the Personal Information subject to the request. In some instances, we may decline to honor your request where the law or right you are invoking does not apply or where an exception applies. We may need to request appropriate identification, depending on the sensitivity of the information requested, to verify your identity and protect against fraudulent requests. If you maintain a password-protected account with us, we may verify your identity through our existing authentication practices for your account and require you to re-authenticate yourself before disclosing or deleting your Personal Information. You may make a request on behalf of a child who is under 13 years old if you are the child’s parent or legal guardian. If you make a request to delete, we may ask you to confirm your request before we delete your Personal Information.

We also process opt-out preference signals, such as the Global Privacy Control. These signals set your opt-out preferences only for the particular browser or device you are using and any consumer profile that we associate with that browser or device unless you are logged into your Company account, in which case we will honor the signal with respect to that browser or device and your account, including your offline consumer profile associated with that account. Appeal. If you are a Colorado, Connecticut, or Virginia resident and if we refuse to act on your request, you may appeal this refusal within a reasonable period after you have received notice of the refusal. You may file an appeal by contacting us via dataprivacy@homebody.com or call our toll-free number: 1-877-577-0850.
Authorized Agents. If an agent would like to make a request on your behalf as permitted under applicable law, the agent may use the submission methods noted in the section entitled Individual Requests. Not all kinds of requests can be made by authorized agents in all states. As part of our verification process, we may request, where applicable, that the agent provide proof concerning his or her status as an authorized agent. In addition, we may require that you verify your identity as described in the section entitled Individual Requests or confirm that you provided the agent permission to submit the request.
13. Customer Payment Information
When you initiate a payment through the Homebody Platform, your payment information may be processed by third-party payment processors, as per their respective terms and policies. We collect your complete payment details temporarily for the sole purpose of facilitating the transaction with our payment processors, which you consent to by making a payment through the Homebody Platform. It’s important to note that we do not store your payment information.

It is our policy to post any changes we make to our Homebody Privacy Notice on this page, with a notice that it has been updated on our main homepage. If we make material changes to how we treat your Personal Information, we will notify you through a notice on the homepage. This Homebody Privacy Notice was last revised on the date listed at the top of the page. You are responsible for visiting the Homebody Sites and this Homebody Privacy Notice to check for any changes.
